Guide: Business accounts
A comparison of business accounts at Polish banks: opening bonuses, maintenance and transfer fees, and the rules around settling business payments.
An account-opening bonus usually requires activity
The highest bonuses (sometimes several thousand zloty) are usually conditional on things like a minimum number of card transactions, incoming transfers, or activating extra services within a set time. A bonus or cashback paid on a business account counts as business income and must be taxed under the rules for your chosen form of taxation, unlike bonuses on personal accounts.
A sole proprietorship doesn't have to have a separate business account
The law does not impose a general requirement for a sole trader (JDG) to hold a separate business account; they can settle payments from a personal account unless the bank's terms forbid it. It is different for companies (civil, general, limited liability): there a business account is practically essential, since the company is a separate entity that settles with the tax office on its own.
B2B payments over 15,000 PLN must go to an account from the VAT whitelist
If you pay an active VAT payer for an invoice over 15,000 PLN, the transfer must go to the account listed in the electronic register of VAT payers (the 'whitelist'). Paying into a different account means you cannot count the expense as a tax-deductible cost and you become jointly liable for the counterparty's VAT; this can be avoided by notifying the tax office within 7 days of ordering the transfer.
Money in a business account is also covered by the BFG guarantee
Company deposits (legal persons and entities with legal capacity) held at banks are guaranteed by the Bank Guarantee Fund (BFG) up to the equivalent of 100,000 euro per depositor per bank, the same as for individuals. Exclusions include funds of the State Treasury, the central bank, banks, financial institutions, investment firms, insurance undertakings, investment and pension funds, and local government units.
Prepare your company's registration documents before visiting the bank
For a sole proprietorship, a printout from the CEIDG register is usually enough; a civil partnership also needs the partnership agreement, while a general, professional or limited liability company needs a current extract from the KRS register. The new account number must be reported to the tax office within 7 days of opening it: for a sole trader this happens automatically when CEIDG is updated, for companies it's done on form NIP-8.
The statutory account-switching procedure does not cover businesses
The statutory, simplified procedure for switching a payment account between banks, with guaranteed deadlines, is described by banks as a service for individuals. When closing a business account and opening a new one at another bank, an entrepreneur follows both banks' own terms and conditions rather than the statutory deadline that applies to individual customers.
